The Office Manager keeps things running smoothly by providing leadership, ensuring customer service standards, in addition to scheduling, being a liaison between branch employees and corporate.
Principle Duties and Responsibilities Maintain safe and secure working conditions.
Demonstrate a positive attitude and promote a positive working environment.
Report any claims, incidents, accidents, and related matters to Human Resources Report to Corporate Management Executives regularly, especially if situations arise that require approval.
Handle escalated concerns from customers, adjusters, TPA representatives, employees and/or other Managers within the branch.
Lead a productive environment that fosters team building, hard work and diligence.
Make strategic decisions to positively impact branch success and ensure deadlines are met.
Reports to and consults with Corporate Office Executives for guidance, approvals, and standard operations direction.
Utilize Dash, Xactanalysis, and all other platforms daily.
Ensure organization and filing systems are maintained and current.
Assist with updating and implementing office policies and procedures.
Oversee adherence to policies and procedures.
Oversee dispatch and office calendar to ensure compliance and that the process is running smoothly (not overbooking techs, etc.
) Running through the jobs in all TPA platforms to ensure compliance with TPA Guidelines.
Monitoring calls, back up for reception on phones.
Ensure the highest standards of customer service are adhered to.
Maintain office supply inventory and place orders as needed.
Ensuring that the office is clean and safety protocols are in place and followed.
Prepare for events, meetings, travel for executives.
Report to management any issues that need to be addressed immediately that are beyond the control of the office manager.
Check in frequently with Field Supervisor and Fleet Manager to monitor the progress of large jobs, problematic customers, etc.
Additional Duties and Responsibilities Valid California Driver License High School Diploma or GED Must adhere to a background check Must be reliable, dependable, and drug free Must adhere to random drug and alcohol screenings Ability to lift a minimum of 50 pounds Supervisory experience Leader by example Ability to work in a fast pace environment Availability for afterhours/weekends when required Excellent English written and verbal skills Company Property Company cell phone Laptop Job Type:
